A chatbot, originally also known as a chatterbot, is a computer programme that simulates and processes human conversation via text or voice input. Its name is a combination of the English words ‘to chat’ (to have a conversation) and ‘robot’. Modern chatbots can conduct complex dialogues and are capable of understanding and responding to user enquiries in natural language.
How a chatbot works
Artificial intelligence (AI), and in particular natural language processing (NLP), forms the technological basis of many modern chatbots. NLP enables the chatbot to analyse and understand the user’s natural language and generate meaningful responses. This involves not only recognising individual words, but also interpreting the entire sentence within its context to identify the intent and relevant entities in the query.
There are three main types of chatbots, classified according to their technological basis:
- Rule-based chatbots: These operate according to predefined rules and pre-programmed response options. They can only answer questions that are stored in their database.
- AI-based chatbots: These use machine learning and artificial intelligence to learn from every interaction and continuously improve their responses. They can understand more complex enquiries and respond more flexibly.
- Hybrid chatbots: These combine elements of rule-based and AI-driven systems. They use rules for standardised enquiries and AI for more complex or unforeseen conversations.
Today, particularly powerful versions rely on generative AI, such as that used in Large Language Models (LLMs). These models can generate new content and adapt to the user’s conversational style.
Areas of application and benefits of chatbots
Chatbots have become an integral part of the digital landscape and are used across numerous industries and business areas. The most important areas of application include:
- Customer service: Here, chatbots answer frequently asked questions (FAQs), provide product information or help with order tracking. They are available 24 hours a day, 7 days a week and can handle a large number of enquiries simultaneously.
- Marketing and sales: They help with lead generation, provide personalised product recommendations and guide users through the purchasing process.
- Internal communication: Chatbots can support staff with HR enquiries, IT issues or other internal processes, thereby boosting productivity.
The benefits for businesses are numerous:
- Increased efficiency: By automating routine tasks, businesses save time and reduce staff costs.
- Improved customer satisfaction: Fast, consistent and personalised responses increase user satisfaction.
- Scalability: Chatbots can provide efficient support when dealing with high volumes of enquiries without the need for additional human staff.
- Data analysis: You collect valuable data on customer interactions, which can be used for further optimisation.
The use of chatbots is relevant for businesses of all sizes, helping to optimise digital customer communication and improve operational processes.
